When you use PayClaim, we collect the following information:
- Account data — your full name, email address, and organization name, provided at sign-up.
- Invoice data — invoice numbers, amounts, currencies, due dates, and associated client details that you enter or import.
- Client data — names, email addresses, company names, and addresses of the debtors you add to the platform.
- Payment data — payment event records received through integrations or manually logged.
- Usage data — actions performed in the application (audit logs), delivery events, and email engagement data (opens, clicks).
2. How We Use Your Data
We use the data we collect to:
- Generate and send debt recovery email sequences on your behalf.
- Calculate statutory interest and compensation amounts based on the applicable jurisdiction.
- Provide dashboards, analytics, and campaign tracking features.
- Communicate with you about your account, service updates, and support requests.
- Maintain audit logs for compliance and security purposes.
3. Data Retention
We retain your data for as long as your account is active. Invoice and campaign data is kept for the duration of your subscription plus an additional 12 months to support audit and legal compliance requirements. After account deletion, all data is permanently removed within 30 days.
4. Your Rights
Under the GDPR, you have the right to:
- Access — request a copy of all personal data we hold about you.
- Rectification — correct inaccurate or incomplete personal data.
- Erasure — request permanent deletion of your account and all associated data.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing of your data for specific purposes.

6. Third-Party Services
We may share limited data with:

We do not sell your data to third parties.
7. Data Security
All data is encrypted in transit (TLS) and at rest. Passwords are hashed using bcrypt with a work factor of 12. Access to production systems is restricted and audit-logged.
